Who we are
The client portal is run by Solutions Comptabilité Solera Inc. The person in charge of protecting your personal information is Rojeh Hana. You can reach them at hana.r@soleraaccounting.ca. This policy applies Quebec's Act respecting the protection of personal information in the private sector (Law 25).
What we collect
We only ask for what we need to prepare your tax returns or your company's year-end:
- your identity: name, date of birth, social insurance number, address, phone, email, preferred language;
- information about your spouse and dependants, when it affects your taxes;
- financial documents: tax slips, bank and card statements, investment and property documents;
- health documents, if you claim medical or disability credits;
- a code sent to your email, to confirm it's you before you sign;
- forms you sign electronically, with a certificate showing when they were signed;
- your activity in the portal: logins and uploads.
Why we use it
To prepare and file your returns, ask you for missing documents, remind you of deadlines, and keep the records the law requires. We never sell your information and never use it for advertising.
Your consent
By using the portal, you agree to these uses. You can withdraw consent at any time. We'll then explain what we can no longer do for you, such as claiming a medical credit.
Who sees it
- Our team members assigned to your file.
- The Canada Revenue Agency and Revenu Québec, when we file with your signed authorization.
- Our service providers, only to run the portal: Vercel (app) and Supabase (files and database); Amazon Web Services (email); and Twilio (text messages), in the United States. Electronic signing happens directly in the portal.
Where it's stored
Your files and answers are stored in Canada. Text messages go through Twilio in the United States, but they only contain your phone number and a short notice, never tax details. Some of our providers are American companies. In rare cases, U.S. authorities could request access to data they host. We reduce this risk with encryption and by collecting only what we need.
How we protect it
Encryption when stored and when sent, a code sent to you each time you log in, access limited to the people working on your file, and a log of who opened what.
How long we keep it
Six years after the end of the tax year or the date your return was filed, whichever is later, as the Canada Revenue Agency and Revenu Québec require. Longer if a review or objection is open. Then it's deleted, and the deletion is recorded.
Your rights
You can ask to see your information, get a copy in a usable format (the portal has a download button), correct it, or withdraw consent. Write to us and we'll answer within 30 days. If you're not satisfied, you can file a complaint with the Commission d'accès à l'information du Québec.
Cookies
The portal only uses the cookies it needs to keep you signed in and remember your language. No tracking or advertising cookies.
If something goes wrong
If a security incident could cause you serious harm, we'll tell you and the Commission d'accès à l'information promptly.
Changes
We'll post any change on this page with the new date.
